Subscription address changes with AI: this order vs. future deliveries

A subscription address change fixes this order and future deliveries separately and reports only what the AI fixed.

Key points

  • Fix separately: order and subscription
  • Ask the customer first: which delivery?
  • Say "changed" only for what AI fixed

Fix the address on this order and on the subscription separately

A&A perspective

Changing a subscription address means rewriting where the customer's deliveries go, to match the parcels still to be delivered. There is more than one place to rewrite. The address sits separately in this month's order that has already been created and in the subscription settings that the later orders are created from.

From the sources

Gorgias, customer-support software for online stores, has a feature that lets its customer-support AI handle order and subscription actions, and it publishes how that works in its help. This article looks at the help for two of the systems it acts on. One is Shopify, which manages an online store and its orders. The other is Recharge, an app that sells and manages subscriptions in a Shopify store.

Gorgias ↗Gorgias ↗

From the sources

According to the help for Recharge, the AI asks the customer for the new address, confirms it with the customer, and then updates the subscription's address. But this change applies only to future deliveries. The help says the address of an order that has already been created does not change.

Gorgias ↗

From the sources

The address of a created order is fixed on the Shopify side. According to the help for Shopify, the AI first checks that the order is still unfulfilled, meaning it has not been sent out. It then confirms the new address with the customer and updates the address on the Shopify order.

A&A perspective

Our reading is that, laid side by side, the two help pages mean one address-change request has two places to write to. If the AI fixes only the subscription settings and replies "changed," this month's parcel may still go out to the old address.

Hypothetical example

Suppose a subscription creates its order on the 10th of each month and ships on the 15th. On the 12th, a message arrives: "I moved, please change my address." This month's order has already been created. If only the subscription settings are fixed, deliveries from next month go to the new address, but this month's parcel goes to the old one.

A&A perspective

The help does not describe the reverse case. Our reading is that if only this month's order is fixed, next month's order is created from the subscription settings that were not fixed, so it still goes to the old address. Fixing just one of the two can leave the result out of line with what the customer asked for.

Ask the customer first which delivery the new address starts with

A&A perspective

Before you hand address changes to the AI, add a step that asks which delivery the customer wants the new address to start with. The same request, "change my address," needs a different fix depending on the customer's intent.

Hypothetical example

The first is a move. The customer wants the new address for this month and every month after, so you fix both this order and the subscription settings.

Hypothetical example

The second is a request to send only this delivery to a different place, for a trip or a visit home. You fix only this order and leave the subscription settings at the original address. If you fixed the subscription too, next month's parcel and later ones would also go to the place the customer is staying.

Hypothetical example

The third is a request where this month's parcel has already been arranged for shipping and the customer wants the new address from next month. You fix only the subscription settings. You tell the customer that this month's parcel will arrive at the old address.

From the sources

The help for Recharge also has a note about skipping the next delivery. A delivery can be skipped only before its order is created. If the customer does not want a parcel that has been created but not yet shipped, the help says the correct action is to cancel the Shopify order.

Gorgias ↗

A&A perspective

Our reading is that this note comes from the same cause as the address change. A subscription action stops affecting this month's delivery once its order has been created. For address changes too, which place to fix depends on whether the order has been created.

A&A perspective

One question is enough for the AI to put to the customer: "Should the new address apply to this delivery, to later ones, or both?" The answer is one of three, both, this delivery only, or from the next one, and that decides what gets fixed. We think letting the customer choose misses less often than having the AI guess whether it is a move or a trip.

A table this article builds from the Gorgias help pages, showing for each request or situation what to fix and what the AI may say.
Request or situationWhat to fixWhat the AI may say
A move: new address for this delivery and later onesBoth this order and the subscription settingsOnce both are fixed, that the new address applies from this delivery
A trip or similar: a different address for this delivery onlyThis order onlyThat only this delivery changed, and later ones stay at the original address
This delivery already arranged, new address from next timeThe subscription settings onlyThat it changes from the next delivery, and this one goes to the previous address
An order already passed to an outside partnerThe AI does not fix it; a staff member checks with the partnerThat the request was received, and that someone will confirm and get back to the customer
An address that changes the shipping feeThe AI's change alone is not treated as done; a staff member checks the differenceThat the request was received, and that someone will confirm and get back to the customer

Say "changed" only for the deliveries the AI actually changed

A&A perspective

In the AI's reply, say "changed" only for the deliveries it actually fixed. For a delivery it could not fix, or has not yet checked, say that the request was received and that someone will confirm and get back to the customer.

From the sources

According to the help for Shopify, when the AI cancels an order or changes an address, the change happens only inside Shopify. For cancellations, the help states plainly that the change is not passed on to outside partners such as a warehouse that handles shipping, or to shipping apps.

Gorgias ↗

From the sources

For stores where there is a gap between an order being created and its being passed to an outside partner, the help suggests using the order's date and time as a condition for the action. Its example is "less than 2 hours since the order was placed." The explanation is that this keeps the AI from cancelling orders that are past the time they take to reach the outside partner.

Gorgias ↗

A&A perspective

This article recommends drawing the line for address changes too, at whether the order has reached the outside partner. Even if the Shopify order can be fixed, a partner that keeps preparing it with the old address may still send the parcel there.

A&A perspective

The help does not explain how the AI should reply when an order has already shipped. So for an order that has gone to the outside partner, the AI only receives the request, and a staff member confirms with the partner before replying.

From the sources

The help names one more limit. The AI currently cannot judge whether the new address changes the tax or shipping fee. So even in that case, the help says the AI can neither refund the difference nor charge extra.

Gorgias ↗

A&A perspective

We do not treat an address that changes the shipping-fee tier as done on the AI's change alone. A staff member confirms the difference and then tells the customer.

Hypothetical example

Match the reply to what was fixed. If both were fixed, reply "From this month's delivery, we will send to the new address."

Hypothetical example

If only this order was fixed, reply "Only this month's delivery goes to the new address. From next month it goes to the original address." If only the subscription was fixed, reply "From next month's delivery, the new address applies. This month's delivery goes to the previous address."

Hypothetical example

When a staff member needs to confirm with the outside partner, reply "We have received your request. We will check whether it can be in time for this month's delivery and get back to you."

A&A perspective

Deciding these four wordings in advance keeps the AI's reply from going beyond what it actually fixed. The table below summarizes, for each request, what to fix and what the AI may say.

Summary

A&A perspective

Fix the address on this order and on the subscription separately.

A&A perspective

Ask the customer first which delivery the new address starts with.

A&A perspective

Say "changed" only for the deliveries the AI actually fixed.

Fix the address on this order and on the subscription separately. Ask the customer first which delivery the new address starts with, and say "changed" only for the deliveries the AI actually fixed. For orders already passed to an outside partner, or addresses that change the shipping fee, a staff member checks before telling the customer.

FAQ

If I fix the subscription address, does this month's created order change too?

No. The help for Recharge says a change to the subscription's address applies only to future deliveries and does not change the address of an order that has already been created. This month's order is fixed separately on the Shopify side.

Can the AI handle customers who have two or more subscriptions?

Some actions it cannot. The help for Recharge says many actions work only when the customer has one active subscription, and that with two or more the AI hands the request over to a staff member.

What if the new address changes the shipping fee?

Do not treat the AI's address change alone as done. The help for Shopify says the AI currently cannot judge whether the new address changes tax or shipping, and can neither refund the difference nor charge extra. A staff member confirms the difference and then tells the customer.
